58th Annual Milford Rotary Swim Meet

Meet Details

Volunteers:  All teams are expected to fill their volunteer assignments.  We cannot run this meet without everyone’s assistance.  Please communicate to your volunteers the importance of showing up on time for their scheduled shift(s).  It is imperative that everyone does their part, and on time, for the meet to run smoothly.  If your team is assigned a job and your volunteer is unsure of what the job entails, please have them check in at the computer desk, or with the meet’s volunteer coordinator.
Coach’s Packet:  Please stop by the computer desk as soon as you arrive to pick up your packet EACH MORNING.  Saturday’s packet will include 2 deck passes, your team’s scratch sheets and relay cards for the day, as well as additional information from the Rotary.  Deck passes will be required to obtain access to the pool deck.  If your team has more than 2 coaches, please let us know so we can provide you with a reasonable number of additional passes.  Sunday’s packet will include scratch sheets and relay cards for the day.  Note:  scratches must be turned in each day by 8:30 am each day.  If your team has a later warm-up time, please be sure you make arrangements to arrive early enough that you are able to turn in scratches by the deadline.
Spectators – PLEASE BE SURE TO SHARE THIS INFORMATION WITH YOUR FAMILIES ATTENDING THE MEET:  Spectators will only be allowed on deck in the bleacher area and we ask that they rotate in and out to allow others to watch events.  
Programs:  We will again be selling programs that include heat and lane assignments.  The program this year will only be available electronically via the Meet Mobile app.  To make this happen, ALL scratches must be turned in by 8:30 a.m., so programs for coaches and officials can be printed and distributed in a timely manner and the app can be updated before the meet begins.  If your team is warming up in a later time slot, please be sure you arrive early enough to complete and turn in your scratches to the computer desk  by 8:30 a.m.  Please advise your team that the programs will be available for sale via Meet Mobile.  The cost will be $2.99.  
Parking:  Parking for the swim meet will be available on-site at the East entrance to Keyes (beside the Keyes Park ball field) and also at the West entrance (127 Elm Street – the entrance between Dunkin’ Donuts and Gauthier Law Offices).  Handicap parking is available at both the East and West entrances, however, the West entrance does not have a paved path to the pool.
Concessions:  The Rotary will be operating their “Chuck Wagon” during the meet serving both breakfast and lunch.  Their menu includes their world famous breakfast sandwiches, hamburgers, hot dogs, pizza, grilled cheese and drinks.  The concession stand at the pool house will also be open.  The menu will include:  snacks and beverages.
Meet Mobile:  We will be using Meet Mobile to publish results (in addition to posting results on paper at the pool).  The name of the meet is “58th Annual Milford Rotary Swim Meet”.  The Event and Psych sheets have been published at this time.  Feel free to share the attached flyer with your team.
Deck Access: Swimmers are asked to exit the deck immediately after they have swum their events.  *** Swimmers will enter the pool deck via the gate installed at the back left side of the pool deck *** (closest to the deep end/lane 6).  Deck Control volunteers will be checking for deck passes for anyone attempting to enter restricted areas of the deck.
The meet will be starting at 9:15 this year.  Warm-ups will begin at 7:15am.

Hello Coaches and Team Representatives:
We are pleased to extend this invitation to the 58th Annual Milford Rotary Swim Meet to be held on Saturday and Sunday, July 22 – 23, 2023.  This year marks the 58th anniversary of the opening of Keyes Pool and the 58th time that the Milford Rotary Club has put on a swim meet.  We look forward to seeing all of the returning teams, and we hope to see some new teams and maybe even some that haven’t been able to participate in recent years. 
Attached is:
The Rotary Club of Milford needs to have a preliminary count of teams that will be attending so they can get t-shirts and other souvenirs prepared.  If you know NOW that your team plans to participate, but you are unsure of numbers, we ask that you please send an email NOW to let us know.  This will allow The Rotary to ensure that your team’s name will be on this year’s t-shirt.  Please also include your team’s preferred contact information.  The final deadline for notifying us of your team’s estimated size and intent to participate is Tuesday, June 27th.
If your team is not going to attend, we ask that you please reply to this email as well.  That way we know we have reached all teams.  If we missed anyone, please let us know so we may extend the meet invitation to their team.
